Key Control

POLICY ON KEY CONTROL

A. Purpose
To provide security for The Victoria College facilities and to provide for the administration and control of keys, the following procedure for key use and key issuance have been formulated.

B. Guidelines
The Director of Physical Plant will be responsible for the issuing and retrieving of all keys. He/she will maintain the central key-control file and records and will reproduce all keys needed. Personnel to whom keys are issued should:
1. Sign a key issuance record;
2.
Maintain security of any key issued;
3.
Report loss or theft of keys to the Director of Physical Plant;
4.
Return all keys to the Director of Physical Plant on demand or upon termination of employment with The Victoria College;
5.
Do not loan or give keys to anyone else;
6.
Do not duplicate campus keys; and
7.
Close and lock doors to their office and building.

C. Keys Issued to Personnel 
All full-time instructors will be issued an entry key (outside door) to the building in which they teach or have offices. They will also be issued a day key (office or classroom). Instructors responsible for equipment in labs or classrooms will be issued a secure key (equipment locks). Part-time faculty without offices will not be issued keys. Maintenance personnel will be issued only entry keys to those buildings that they are assigned.


D. Lock Changes and New Keys 
All requests for lock changes and new keys must be submitted on a work order to the Director of Physical Plant with prior approval of the Vice President, Business and Administrative Services.


E. Special Security Keys
Special security locks and keys for areas of special consideration may be permitted with prior approval by of the Vice President, Business and Administrative Services.


F. Loss or Theft of Keys
Loss or theft of keys should be reported immediately to the Director of Physical Plant who shall make note of which keys are lost, the key holder's name and the date. The Director of Physical Plant will then coordinate the loss of keys with the Vice President, Business and Administrative Services.
